Our system boasts many features to help you not only increase efficiency, but also manage your data. Below you will find a detailed description of each of our offerings. Some service plans provide for different features so please note the plan logos indicating availability. If no logo is listed, the item is available in all plans.

User Accounts

Each user of IMSengine is required to have an account with us. The service plan your organization has chosen determins how many users you are allowed to have, and which User Management features you're given access to.

Administrator - You have one account that is registered as the "Administrator" account. This account is given access to all features and given full permission to create, edit and delete information.

Additional Users - If you have multiple accounts for different users, each user is permitted personal data and files that is only available to other users if specified by the owning user, or the administrator.

System Templates - If you want a more personalized look and feel for your organization's using of our system, you can provide us with a template for your company and we will replace our service's look-and-feel with that of your companies. This template is also usable in other areas of our service as well.

Departments - You are allowed the ability to create multiple departments within our system to group users and data into. The default department you start out with is the "General" department and you can add as many as needed after this. When you go to create or upload data into our system, you can specify which department it belongs to and limit the availability as such.

Data Management

Because all inforation has the potential need to be added to, modified, or even removed, we provide you with a robust set of tools to help you manage your data.

Data Upload - In an effort to facilitate easy data uploading, we have provided our customers with the ability to upload data stored in CSV formatted files. You may choose to either use our template file for loading your data into the CSV file, or you can use your own. For individual records, we provide a simple form-based method for adding data.

Recipient Removals - To comply with all applicable laws, we provide a way for any recipient of a communication the ability to make their record inactive and prevent any future sendings to them.

Campaign Management

A campaign is the succession of communications sent to recipients following a single format. Campaigns specify the details of a communication and all statistics are based on them.

Campaign Creation - Campaigns can be created either from scratch--starting with an empty page or template--or you can copy an existing campaign to save time.

Data Merging - In an effort to personalize each communication, we provide a set list of merge items that will be replaced by the recipients information when the communication is sent. This allows you to create a generalized template and then send it to numerous individuals in a personalized fashion.

Campaign Templates - Templates are used to quickly provide a look-and-feel for your communications. We provide you with many pre-made templates, but you are also allowed to create your own. There is no limit to the number of templates you can create, but we do limit the storage space any images for these templates take up on our server.

Campaign Scheduling - Our scheduling system allows you to provide a future date to send a campaign and shows exactly when each instance of a campaign was ran.

Company Compliance - In a multi-user situation, it may be necessary to verify the content of each communication that wants to be sent, so we offer the ability to specify a compliance officer. The compliance officer will receive an email indicating a campaign awaiting authorization and they can then check the contents of the campaign and either approve or deny it.

Document Library

Occassionally you might find yourself needing to share a single file with all the recipients of your communications. We understand that this can pose problems so we've provided you with a document library that houses the files in a readily accessible location for all your recipients.

File Types - For various reasons, we limit the uploadable file types to Microsoft Office documents, zip files, and a few multimedia formats such as .mp3 and .wma.

File Size - There is a maximum size limit to the individual size of each uploaded file. If the file you wish to distribute exceeds this limit, it will not be saved on our servers.

Storage Limit - There is a maximum storage capacity for each company that is taken into account each time a campaign template or document is uploaded. When the storage capacity is reached, you will not be able to add any new templates or files without first deleting some and freeing up space.

Reporting

Being able to see the effectiveness of your efforts can be a valuable thing, so we're happy to provide you with statistical analysis concerning every aspect of your campaigns.

Overview - We provide you with a complete overview of the campaign and its effectiveness. A generalized statement of attempts, successes, failures, opens and activity is provided for you and is available in an up-to-date format at any time.

Automatic Reports - We provide a series of three reports to the individuals listed as the "Report Recipients" during the campaign creation. These reports are emailed to the specified individuals two hours after the campaign has finished sending then again at two days and two weeks.

Recipient Activity - Our reporting feature breaks down our generalized reports into more specific details showing exactly who opened the communication, who unsubscribed, who didn't receive it and who clicked on what link. This listing can then be downloaded into a CSV file to use for more focused campaigns.
